My client is currently looking to recruit an experienced Legal Secretary / Legal PA / Administration Assistant to join their Bolton office assisting a team of solicitors.  Previous Legal Secretarial / Legal PA experience is needed and the successful secretary will provide a professional attitude to work, enjoy working within a busy environment, be willing to learn and must be outgoing and confident on the phone and willing to take initiative to greet office visitors.

  • Being the first point of contact for the team, liaising directly with new and existing clients.
  • Supporting fee earners with drafting, file management and data entry. Experience with Excel is essential as well as all Microsoft Office programs, including Outlook.
  • Photocopying, scanning and printing, taking care to check all work before passing over, ie are any pages missing
  • Preparation of bulk documents, files and bundles.
  • Document preparation and amendment including letters and emails, having the initiative to ensure that information is correct and proofreading
  • Preparing voluminous and complicated spreadsheets and packs for meetings
  • Managing our Case Management system, client and prospect spreadsheets, ensuring any emails, letters or correspondence relating to the matter are populated throughout the relevant spreadsheets, checking that each relevant field is completed.
  • Managing high-volumes of email traffic.
  • Keen to learn with the initiative to research solutions when presented with new challenges or to ask when you are unsure how to do something.
  • Must be a self-starter who is able to work for periods of time without direct supervision, with the resourcefulness to fully utilise the information available to help you complete tasks.
  • Electronic and physical paper filing. Taking responsibility for the files you keep and ensuring that they are always up to date and that papers can be retrieved easily.
  • Ensuring all clients and prospective clients are regularly updated.
  • Research and drafting website content in relation to the types of claims we specialise in.
  • Opening and closing files.
