A boutique law firm based in Winchester is looking for a Practice Manager ideally with a law firm background. Winchester is 1 hour direct by train out of Waterloo!
Principle duties for this law firm of up to 40 people will be
ACCOUNTS
Processing or managing the process of
- All postings to client and office ledgers ensuring compliant with Solicitors Accounts Rules
- Dealings with cheques, cash and electronic payments and receipts
- Daily checks of online bank statements and liaising with the bank with queries/issues
- Weekly bank reconciliations
- Monthly Petty Cash reconciliations
- Checking bills and completion statements
- Daily Land Registry statements
- Daily Property search statements
Accounts/Financial procedures carried out
- Month end close down, reports production and analysis
- Month end reports for individual bonus workings
- Monthly prepayments
- Producing cash flow statements and presenting them to the Members
- Checking and paying suppliers
- Ad hoc and annual interest calculations
- Reviewing Deposit account arrangements including meetings and negotiations with the bank.
- Monthly payroll, PAYE, auto enrolment and childcare voucher processing and reporting and annual final reporting to HMRC
- Quarterly VAT returns
- Annual budgets, targets and fee-earner charge out rates
- Annual overseas interest report for HMRC
- Annual PSA report and calculations for HMRC
- Organising quarterly strategy meetings and weekly Members’ meetings
- Year-end close down, reports production and analysis
- Liaising with auditors for annual audit visit, accounts production, SAR report and final sign off of accounts and tax returns
- Production of one off reports for Members as required
Staff/HR
- Recruitment of support staff
- Assisting with the recruitment of fee-earners
- Organising annual appraisals and feedback
- Preparing and amending employment contracts
- Keeping attendance records for all staff
- Dealing with day to day staff issues
- Managing holiday system including the arrangement of cover for staff and Members
- References and other letters for staff
- Organising the annual Christmas party
Building Responsibilities
- Arranging the servicing of burglar alarm, fire alarm and equipment and the heating systems
- General problem solving around the building including contacting tradesmen to assist in repairs required.
- Liaising with the gardener
- Ensuring that the waste collection is carried out/organised.
IT/Office equipment
- Overall responsibility for IT within the firm including troubleshooting and liaison with external IT support (including copiers, fax machine, telephones and franking machine)
- Daily back up routine
- Creating new users for new staff including the setup of support software
- Working with the Compliance manager regarding cyber security and computer system updates
General
- Annual accounts and return for the firm as Company Secretary (qualification not needed)
- Data Protection registration
- Ordnance Survey annual certification
- Annual Practising Certificate application
- Attending Quarterly Practice Managers meetings
- Negotiating with suppliers of utilities, stationery, equipment and IT re contracts
