Our client, an international law firm, require a Learning & Development Coordinator to join their London team.
With responsibility for the administration of the Learning and Development function and for coordinating the firm’s development programmes, you’ll be liaising with internal and external clients to organise day to day training courses and maintain the team’s systems.
Working closely with the Learning & Development Officer and Manager, and also with individuals in practice groups who manage their training programmes. This role will evolve in line with the operational needs of the L&D and HR teams and strategic direction of the Firm.
Responsibilities
General Administration
- Coordination and administration of firm wide training programmes (including, management and skills programmes for partners, associates and trainees) – especially technical legal training programmes.
- Booking rooms, equipment, catering and liaise over audio-visual support (PowerPoint/Webinar/Videoconference) and ensure printing of materials.
- Ensuring rooms are set-up for training event, familiarising external trainer with facilities (Health and Safety compliance) etc.
- Notifying delegates of time, date and room, training objectives and distribution of pre-course preparation if necessary.
- Overseeing maintenance of the Training Room.
Group Training Programmes
- Liaising with Group training partners and knowledge management lawyers over group training programmes.
- Working with the L&D team and stakeholders in the practice groups on the running of skills and technical legal courses.
- Liaising with internal and external speakers.
- Liaising with KM Lawyers over inclusion of training materials on Know How system.
Communication and Client Liaison
- Ensuring accurate procedures are followed for liaising with client groups over their attendance at lectures (including liaising with fee-earners over particular clients when necessary).
- Dealing with enquiries from clients and members of staff.
Compliance with Solicitors Regulation Authority (SRA) and Law Society Regulations
- Inputting and managing training attendance on training records for Continuing Competence.
- Keeping track of new joiners/leavers and qualification details.
- Monitoring all training events for SRA/Bar Standards Board Accreditation purposes.
Trainee Induction and Professional Skills Course (PSC)
- Administration for the firm’s PSC courses for its trainee solicitors.
- Administration of induction for new trainees.
- Administration of trainee seat rotation training.
Team Administration
- Processing invoices for payment.
- Room bookings and liaising with facilities and reception.
- Assisting with the evaluation process of all training courses.
- L&D training calendar management.
Other
- Assisting with the maintenance of Know How materials and L&D Intranet pages.
- Producing reports for the L&D team (for example, number of associates/partners, number of training sessions etc).
- Ensuring all enquiries received by the L&D Department are dealt with quickly and effectively.
- Providing cover for the Learning and Development Officer.
- Assisting the wider L&D team with administration where necessary.
Key Experience
- At least 1-2 years’ experience of coordinating technical legal training programmes, ideally in a law firm, and working with practice groups to set up and run their training.
- An ability to critically assess learning needs and assist stakeholders with the design of sessions and finding external speakers.
- Excellent communication, interpersonal and customer-service skills and ability to work effectively with all organisational levels.
- Demonstrated ability to maintain a proactive customer-service focus and attitude at all times.
- Able to work on multiple projects/priorities in a deadline-driven environment, remain calm in pressurised situations and adapt quickly to change.
- Capable of working individually and as part of a team.
- Excellent organisational skills, administrative skills and the ability to work to tight deadlines.
- Flexible and pro-active approach to work.
- Experience of managing events is desirable.
- Good level of proficiency in Outlook, Word and Excel and preferably legal applications.
