A prestigious US Law Firm is looking to hire a new Client Services Specialist to join the London office on a permanent basis. Responsibilities will include maintaining a welcoming, professional, service-orientated approach when interreacting with lawyers, clients staff and visitors who require conference centre services, answering, screening directing and placing telephone calls and directing visitors to the appropriate destinations, maintaining hospitality style service in the conference centre to meet the needs of the firm, scheduling and rescheduling meetings and conference rooms including the coordination with other support teams to arrange catering, audio visual and equipment needs, working closely with the conference room requesters to ensure full details are gathered for each reservation and entering the information on to the firms platform. Other duties will include developing a details knowledge of each conference room, working with the Head of the London Marketing team to support client events, including planning, setting up and attending the events, tracking, changing and coordinating visitor offices, escorting visitors to their offices if required, assisting lawyers and visitors with special requirements such as transportation, restaurants and logging, assisting in the set-up of lunches, events, office drinks and cake trolleys, faxing, copying, printing, mailing and organising couriers, providing timely feedback to the Director of Administrator on any issues that affect client services and the conference centre. Candidates will be working 37.5 hours a week on a shift rota, between the hours 07.30am – 7.00pm. Candidates must have a minimum of two years Corporate Receptionist experience, ideally within a law firm. Candidates must have exceptional written and communication skills and knowledge of Microsoft Office.
