My client a leading global legal practice who provide the world’s pre-eminent corporations and financial institutions with a full business law service have a great new opening for a Legal PA / EA to support their newly appointed Head of Corporate. You will be working as a valued member of the Corporate Practise Management Team providing organisational support. The Role
The role requires both organisational and technical skills; the candidate will support the Practise Group Leader in both fee-earning and practice management capacities and will need to provide professional and proactive high level administrative and organisational support to the PGL and team on all aspects of Corporate projects and those relating to the global development of the company whilst demonstrating the ability to multi-task and organise a varied workload as well as having to act as central point of contact for the Corporate department, including the provision and dissemination of key information. A high level of confidentiality, discretion and personal sensitivity is required in all aspects of the role.
Duties:
- Diary and meeting management of monthly Corporate update meetings, preparing papers for same;
- Assisting with organisation of the Corporate element of the annual partners’ conference and departmental and Team Leader away days;
- Preparation for annual partners’ appraisal and REMCO meetings;
- Assisting with the arrangement and co-ordination of lateral hire meetings;
- Hosting webinars;
- Updating departmental records, such as holiday records, and team activities;
- Disbursements, expense and travel management - make travel arrangements to include bookings, preparation of comprehensive door-to-door itineraries and arrangements for required currency/visa/passport etc.;
- Proof read all work, checking for spelling and grammar - amending reports, presentations and memos;
- Manage diaries of PGL in Microsoft Outlook, to include:
- Arranging meetings/conferences/lunches and sending and responding to meeting invites;
- Prepare agenda, book rooms and refreshments for meetings; send reminders for meetings and ensure papers are prepared in advance;
- Process expense claims, payment requisition forms, returned advances;
- Maintain and update contact details in Outlook/Interaction database;
Experience Skills Required
- Minimum 5 years’ experience supporting Partner level within a reputable law firm
- Excellent MS Office skills
- Excellent interpersonal and networking skills
- Strong time management and prioritisation skills;
- Audio typing skills;
