Venn Group is currently recruiting for Administration Assistants on behalf of an in-house organisation based in Warwickshire.

This role will be a temporary position that is expected to last for a minimum of 1 month, with a likely possibility of extension. This role would suit someone that is immediately available with relevant experience.

The main purpose of the role is to provide an efficient case file preparation service in support of case management. Though not essential, the ideal candidate will possess working knowledge of the Criminal Justice System. Further details about your day to day responsibilities are listed below.

Main Responsibilities:

  • Preparation of files in relation to criminal offences, ensuring these are prepared in the set timescales
  • Respond to a whole range of requests for information received in writing and over the telephone from Solicitors, Insurance companies and third party suppliers
  • To update the system following notification of Magistrates Courts adjournments and final hearing results
  • Add client information to the Case Management system ensuring timely and accurate digital data transfer to other agencies
  • Research and collate details of court hearing outcomes in the Magistrates and Crown Courts, this entails knowledge of the sentencing guidelines and ensure systems are updated accurately
  • Make best use of technology in order to support performance and ensure completed files are compliant
  • Manage all out of court disposals
  • To set first court dates and ensure all agencies are aware of the first court appearance being set within national and locally agreed timescales.
  • Set court hearing date and create the relevant digital file and sending the postal requisition to the all parties involved
  • Supply information to Solicitors and insurance companies ensuring the correct information is obtained and supplied
  • To update IT systems with all case file information
  • To carry out quality assurance checks on disposal files and information recorded correctly
  • To manage a bring forward system to ensure timely receipt of final hearing outcomes for cases remitted to Court areas
  • To provide general administrative support
  • To undertake other duties commensurate with the nature, level of responsibility and grading of this post, as required

Experience/Skills:

  • Educated to GCSE/ level 3 or equivalent, with an A – C grade in English and Maths.
  • Demonstrative working knowledge of the Criminal Justice System, in particular with regard to criminal and Road Traffic prosecutions.
  • Proven experience of and ability to assimilate and apply complex information.
  • Excellent oral and written communication skills.
  • Proven ability to work to strict deadlines, managing a high workload whilst balancing competing demands.
  • Competent in the use of IT, including Microsoft packages or equivalent.
  • Proven ability to file and retrieve data numerically and in alphabetical order.
  • Proven ability of working as part of a team.

This role offers a pay rate of £8-11 per hour and will start on 13th March.
