Our client requires a Graduate Resourcing & Development Administrator to join their Graduate Resourcing & Development team of five.
This entry-level role includes responsibility for administratively supporting the Graduate Resourcing & Development function in all processes and events from the point of application through to the qualification of our trainee solicitors.
Key Responsibilities
Graduate Recruitment from application to appointment
- Respond to Graduate Resourcing queries via email and telephone.
- Monitor the Graduate Resourcing inbox on a daily basis.
- Basic screening of applications from online application system.
- Assist with organising open days, vacation schemes and assessment centres.
- Room bookings and set up, catering requirements, name badges, name cards, finding suitable presenters and organising social events.
- Scheduling interviews, collating interview packs and ensuring interview feedback is received in a timely manner.
- Scanning all academic certificates and processing travel reimbursements and loans.
- Create offer paperwork and packs.
- Book law fairs and receptions and any other ad-hoc recruitment events.
- Administer reference checking process with HireRight.
- Upload all new joiner details to Taleo recruitment system and PeopleSoft HR system.
- Travel to and attend UK law fairs, receptions, and general recruitment events. Overnight stays are expected, particularly during the milkround season.
- Attend all Graduate Resourcing social events during vacation schemes and open days (predominantly during the evenings).
Development of trainee solicitors from acceptance stage to qualification
- Build relationships with future and current trainees; maintain contact with future trainees as they progress through university and law school. Maintain and update future trainee database.
- Assist with basic trainee queries.
- Assist with organising the new trainee induction programme.
- Ensure trainees submit their end of seat checklists, supervisors complete all mid-seat and end of seat evaluations of trainees.
- Assist with the organisation of future trainee parties.
- Maintain trainee employee files.
- Help administer the overseas seat process including visa, work permits, language lessons, process expenses/reimbursements.
- Produce letters for trainees relating to references, qualification leave, salary changes, start date changes and leavers.
Additional Responsibilities
- Organise when necessary ad-hoc work experience placements for students.
- Process team invoices and expenses.
- Work closely with our overseas team to ensure accurate data is recorded relating to our trainees.
- Organise the qualification dinner.
- Maintain adequate levels of stationary, giveaways, offer boxes etc. for Graduate Resourcing events.
- Assist with the overflow of work from HR colleagues when necessary and provide holiday/sickness cover.
Essential Skills:
- Candidates for this role will ideally be degree-educated and looking to begin their career in Graduate Resourcing or HR. Some form of administrative experience would be advantageous but not essential.
- This is a busy, professional environment and requires a calm and approachable attitude as well as the confidence and maturity to deal with people at all levels, both within the Firm and externally. The person appointed will often be acting as an ambassador for the Firm in its recruitment of trainee solicitors and it is essential that a professional, helpful and friendly attitude is shown at all times.
- Candidates must be able and willing to deal with the high-volume administrative workload required of this role as well as having the interest and personal skills to assist with social functions and presentations both in-house and at universities and careers fairs.
