Are you interested in working for a leading regional law firm in an administration capacity?

If so, our clients are looking to recruit Legal Administrators for their File Opening and Post Completions Teams in Plymouth, on a 6 months fixed term contract basis

File Opening

This role contributes to the work of the team supporting the File Opening Team Supervisor with general administration in relation to file opening.

To provide an efficient and effective administrative service to the Firms legal teams as required.

To provide assistance with administration activities for new transactions in order to meet all set requirements and timescales. To include:

· File opening and accompanying procedures in line with compliance requirements, to include - updating central records and the entering of entities and capacities on each new client/matter file.

· Production of Terms of Business and Confirmation of Instruction Letters; Amending and collating letters with enclosures in line with set deadlines (for specific areas of the business), ensuring sign off as appropriate by the appropriate lawyer.

· Collating and completing due diligence to comply with Anti Money Laundering Regulations

File management to ensure compliance with firm practices and procedures to include, for example, Lexcel, Code of Conduct, and anti-Money Laundering.

Managing routine client telephone enquiries, to ensure all required information and details are obtained to comply with file opening requirements.

Post Completions

To take ownership of the allocated caseload of predominantly new build purchase with some remortgage matters

To provide an efficient and effective service to the property units.

To provide assistance with all post completion activities for New Homes property transactions in order to meet all the requirements and timescales.

To include: Updating of PMS to ensure correct continuation of task flow Completion of Stamp Duty Returns via HMRC website Reconciliation of client accounts Submission of appropriate correspondence and notices to relevant parties Completion of NHBC Acceptance forms Registration with HM Land registry using Land Registry portal File completion and closing Post completion queries from clients, solicitors, developers, lenders etc

To ensure appropriate quality service and compliance for all matters in accordance with agreed standard policies

To consistently meet all objectives as agreed on a quarterly and annual basis as part of the Team plans.

All adhoc administration duties such as filing, scanning and photocopying.

To be a role model for the Firm’s Values and encourage the others to do the same.

Skills and Attributes 

Excellent all round communication skills including the capability to develop and maintain strong client relationships

Ability to collaborate and work effectively with other colleagues internally, both within the wider team and across all practice areas.

Attention to detail and excellent organisation skills 

Ability to achieve tasks quickly and accurately meeting the needs of the lawyers in the unit to which you have been assigned.  

Excellent IT skills across the MS suite of programmes along with a willingness to learn new computer packages.

The ability to work under pressure and to tight deadlines.
