Role: Project Administrator
Location: Based at Ashurst’s London offices.
Reporting to: Global Projects and Portfolio Manager
Hours of work - Monday to Friday, 09:30 - 17:30 (with flexibility around these times to meet deadlines and requirements of the role, as directed by the Projects Team Manager).
Department/ Role Overview:
To provide admin assistance to the Global Head of IT Programme and Change Management, as well as the IT Project Management team
Main responsibilities:
- Ensure that projects are run in compliance with the Firm’s requirements;
- Ensure that the project methodology and associated processes are followed, thus maintaining standards;
- To co-ordinate project resources, information, rooms and equipment.
- Produce weekly and monthly Project, Programme and resource plans;
- Provide guidance to project teams;
- Maintain and integrate project plans;
- Track and report overall progress on projects and programmes;
- Raise purchase orders relating to projects;
- Assist with performing quality reviews;
- Establish and maintain the project documentation library.
Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requires and internal policies.
Essential skills and experience:
- Previous experience working as a project administrator as part of a busy project management team, ideally within a law firm;
- Working within a structured project framework;
- Experience of ensuring that projects are run in compliance with the Firm's requirements;
- Proven experience in:
-
- providing guidance to project teams;
- maintaining and integrating project plans;
- tracking and reporting overall progress of projects and programmes;
- establishing and maintaining the project documentation library;
- monitoring resource utilisation;
- Good understanding of soft skills involved in liaising with project managers and other staff members;
- A good eye for detail; ability to work accurately and effectively even when under pressure;
- Able to learn and understand processes used within the department;
- Excellent analytical skills;
- Good working Knowledge of Microsoft environments; - Windows 7, MS Word, Excel, PowerPoint and MS Project.
- Excellent knowledge of all elements of the project lifecycle;
- Able to manage multiple tasks concurrently;
- Tactful and diplomatic when in pressured situations;
- Excellent presentation, written and communication skills;
- Uses initiative - 'can do' approach.
Desired skills and experience
Familiarity with some or all of the following:
- Prince 2 or similar project methodologies;
- Excellent Working Knowledge of Microsoft environments; - Windows 7, MS Word, Excel, PowerPoint and MS Project.
