This firm is a well-established, City-based legal practice whose expertise in shipping and commercial law is renowned. The firm is at the heart of London's shipping and commercial law world and delivers timely, individual and expert personal attention to each of their clients.

Role. IDEALLY ON A TEMP TO PERM BASIS

The role is a standalone front line support to a sole Partner, Accounts & Office Manager and two Fee Earners.  The secretary is expected to be proactive and efficient in providing an effective secretarial service.  The role requires excellent attention to detail, acts promptly upon instruction and use of self-management as well as a high degree of initiative. 

The role will include but not be limited to:

  • To receive incoming calls and courteously transfer to relevant member of the firm or take/relay messages where appropriate
  • Perform audio tape transcription by dictation.  Compose documents from central workspace to outgoing recipients, predominantly for senior figures of the firm
  • Attend the firms central mailbox and distribute emails appropriately
  • Enter timesheets into accounting software for senior members of the firm
  • Draft and final engrossment of legal fee bills as directed at end point of accounting periods
  • Daily attendance to incoming/outgoing franked post, filing, and ad hoc courier bookings
  • Generally greet visitors to the firm, taking in deliveries  at reception area

Where it can be arranged initial training and handover notes will be provided by the incumbent secretary and the Accounts & Office Manager will serve as first contact, at hand to assist on a day-to-day basis.

Person specification

  • Excellent communication - offers  a calm demeanour and liaise sensitively to all firm members
  • Ability to manage shifting priorities and work well in demanding, fast-paced environment
  • Key skills – proficient in the use of Microsoft Office (Outlook/Word), Adobe and adept to grasping systems and firm procedures well (given reasonable training).
