This boutique law firm based in the heart of London is looking for a Practice Manager due to the retirement of the current post holder. This is a full time permanent post working 9 to 5 and the firm happily takes a flexible approach to some home working or part-time, and will consider any viable suggestions.
With 15 members of staff the Practice Manager is responsible for all day to day office operations and previous law firm experience is essential
The Practice Manager will be expected to lead the firm’s administration team which consists of a full time cashier, a full time PA/Marketing administrator, and a full time receptionist/office administrator.
The candidate will have an in-depth understanding of accounting principles and SRA Solicitors Accounts Rules and compliance and will have responsibility for financial reporting. Ideally you will have 3 Years plus as a Senior legal cashier/Accounts manager or Practice Manager and must be capable and qualified to be a COFA for the firm. The candidate will need to cover for the legal cashier during the cashier’s holiday leave. The role requires a confident and proactive all-rounder, who can effectively manage multiple aspects of this role.
The successful candidate will have broad experience and be familiar with all aspects of legal finance, management and compliance. As a good team player you will function comfortably at management level, as you will be expected to take ownership of most aspects of the day to day running of the firm, and together with the team, manage Finances, Partnership support, Compliance, HR, Marketing and Office management including various administrative duties.
Some form of formal accounting qualification is desireable to ensure that the candidate has the in depth knowledge of accounts that are essential.
Suitable qualifications: ILFM Fellow, CIMA, ACCA, or CAT, in all cases a p/q can be considered if the candidate has sufficient experience in the role.
Duties include, but are not limited to:
Partnership Support and Administration
Arranging and attending partners meeting and taking minutes
Practice Development - helping to identify those areas that we need to promote and expand ad develop these areas.
Finance
· SRA Compliance
· Money Laundering Reporting Office - MLRO
· Financial Budgeting and Reporting
Monthly Management accounts
Overseeing the Accounts department consisting of a Legal Cashier.
· Liaison with bankers and auditors
HR
· Responsible for managing all staff including formal and disciplinary matters together with the staff partner
· Inducting new staff and maintaining up to date personnel records
· Maintaining an accurate records of staff holiday and sickness leave
· Carrying out all payroll functions using Sage.
Marketing.
Monitoring of the database, Website, all social media and newsletters etc., to ensure that they are up to date and accurate.
Office Management
• Securing professional indemnity & Office insurance.
• Law Society & SRA compliance.
• Liaising with external suppliers.
• Updating the Office Manual & Office Procedures.
• Managing the firm’s IT requirements with out of house IT support company.
• Ensuring office space, and meeting rooms are well maintained.
• Monitoring landline and mobile phone usage.
• Management and overseeing Receptionist and Legal PA, including personal development
• Ensuring that the building remains in good working order and arranging for any remedial work to be done in a timely and cost effective manner.
• Cost control and regular audits of relevant supplier accounts.
• Organising of health insurance policy renewal.
• Overseeing credit control.
· Office Equipment - ensuring equipment is properly maintained.
· Negotiation with suppliers for replacement equipment and overseeing installation
