Assistant to Managing Partner - Job Description

JOB SUMMARY
* To offer general administration and secretarial support to the Managing Partner in the day to day management of the Firm

MAIN DUTIES AND RESPONSIBILTIES
* Organise various Partners and staff meetings as required and take minutes as required
* Assisting in organising departmental meetings
* Maintain the BUPA file, registering new entries and dealing with queries
* Dealing with both the Firms' and Partners' motor cars to include contract hire, tax, insurance etc
* Arrange car parking for various members of staff at local car parks
* Check the renewal schedule for practising certificates and amend where necessary
* Prepare induction binders for new staff and update organisation charts
* Conduct building tours for new staff at the Leamington office
* Researching, preparing and supplying information
* Document preparation under direction of the Managing Partner
* Monitor staff appraisals
* Assist with Risk and Compliance Management
* Produce Excel spreadsheets and Reports
* Deal with Policy updates
* Report to Heads of Departments as required by the Managing Partner
* Cover Reception duties as and when required
* Provide secretarial and general support to the Managing Partner and Senior HR Officer
* Facilitation of Marketing where required
* To assist with organisation of internal training
* Updating Intranet

SKILLS AND EXPERIENCE
* A good command of written English and sound literacy skills
* Ability to communicate at all levels
* Good organisational skills
* Ability to be a team player
* Flexible outlook
* Ability to work under pressure and meet deadlines
* Discretion and complete confidentiality essential
* Maintenance and Confidentiality

KNOWLEDGE REQUIRED
* A sound working knowledge of Word, Excel and Outlook
* A basic knowledge of Power Point and Excel
* Full clean driving licence and the use of a car

ATTENDANCE AT MEETINGS
* Support Staff Meetings
* Other meetings as required by Managing Partner
* Heads of Department Meetings
