Benefits Officer - Birmingham - Job Description

Main Purpose of Job:

The main purpose of this role is to support the Benefits & Travel Manager; provide advice, information and guidance on all aspects of employee rewards; efficiently manage the administration of all employee benefits as well as ensuring people know and take up their entitled benefits; help in developing and promoting the total reward package.

Also provide backup support on travel. You will be a key player in the Benefits and Travel Team and will report directly to the Benefits and Travel Manager.

Main Duties and Responsibilities:

1 Responsible for the efficient administration of all employee benefits, which include:

• Private Medical Insurance (partner and staff schemes) – membership data, queries, payment, policy updates, liaising with brokers, updating the HR personnel database and various spreadsheets.
• Childcare Vouchers – paperwork, amendments to payroll.
• Pension scheme - maintaining up to date records of members.
• Life Assurance – budget, costs, queries, records, renewals, payment and claims etc.
• Permanent Health Insurance - Answering queries relating to the staff and partner PHI scheme and dealing with brokers, insurers and employees in respect of claims. Having an overall knowledge of where each claim is within the process.
• Annual Travel Pass Loan scheme renewals which take place in February, July, October and November.
• Flu Vaccinations - Arranging and co-ordinating the annual free flu vaccination programme, negotiate costs with providers, book meeting rooms, set appointments, pay invoices, keep good records.
• Medical Health Assessments - Provide partners and senior managers with details of how to book medical health assessments, monitor and arrange payment.
• Keep the “Pay and Benefits” section of the HR website accurate and up-to-date.
• Christmas Gift – Manage the whole process, which includes designing/agreeing the Christmas card, providing Finance with the cash order and breakdown, co-ordinating the card signing and gift distribution.

2 Manage the various benefit renewals process, provide information, understanding, background etc as relevant and liaise with the appropriate brokers as appropriate.
3 Fully involved in setting budgets for all benefits. Responsible for accurately monitoring and managing expenditure, checking and processing invoices correctly.
4 Actively and proactively look at ways we can improve on the rewards we offer and what more we can do. Keep up to date on what the latest with employee reward by reading magazines such as Employee Benefits and bring useful/interesting information to the attention of the Benefits & Travel Manager.
5 Respond appropriately and accurately (usually by email) to regular benefits related queries, to all level of employees and partners.
6 Undertake and deliver on time, a constant variety projects and initiatives. These could include research/proposals/recommendations on new benefits, legislation, competitor comparisons etc.
7 Provide back up support on travel, including booking and producing rail tickets, dealing with booking queries.
8 Proactively help develop and promote the total reward package, providing creative ideas and thoughts about how we might do this best.

Any other reasonable duties delegated by any Partner, Manager of the firm or Group Co-ordinator.

Person Specification:

The successful candidate will be an excellent communicator with an analytical and methodical approach being process driven. Accuracy and attention to detail is crucial in this role to ensure that everything we communicate and manage is 100% correct. We are looking for a proven track record in administration and benefits, well organised, efficient with a good head for figures and statistics. Knowledge of generalist HR is desirable.

This is a responsible, proactive role and the successful candidate will need to take ownership of their responsibilities, drive and manage projects/initiatives, work on their own initiative.

The role is also extremely varied and being able to juggle your workload and prioritise well is important. Sound writing skills are a must and having a creative fare a distinct advantage.
