Business Services Manager - Job Description
Priorities -
Catering (both staff and client), Reception/Switchboard, Admin Services (mailroom, records, stationery and fax), Central Word Processing, travel and hotels. Management of all soft services contracts including catering and admin services plus other outsourced services provided at both London offices. As part of the Facilities management team, you will play a key role in emergency response and business continuity planning. Leadership and co-ordination of the firm’s environmental success. Advising on best practice as required in both national and international offices.
Strategic & Operational Management -
Provide strategic plans for each service, ideally 3 year plans, particularly if capex is required. Management of operational budgets.Provide assistance to other offices as required. Run tender processes for contractors as and when required ensuring the best solution for the business is procured.Management of in-house and contract staff. With department managers, lead performance management, process improvement and problem solving. Provide practical support to managers, both contract and in-house, in the management of their teams providing a ‘sounding board’ for the discussion and resolution of difficult issues. Project management.
Business Services -
Catering. Manage catering contract including monitoring against performance criteria. Management should include review of the food provision for quality, variety, cost against budget, new innovations, market comparison. Monitoring of all feedback, occasional reviews with staff. Ensure compliance of all statutory testing and necessary health and safety.
Reception/Switchboard -
Ensure best in class end to end customer experience including environment and service generally.
Admin Services -
Manage contract including monitoring against performance criteria. Review of service provision to all staff and, in particular, management of direct contracts with the firm such as records storage and couriers.
Central Word Processing -
Ensure best in class document production, flexible service and regular service review with client base.
Travel (air, train and taxi) and Hotels -
Manage contracts including monitoring against performance criteria.Regular review of airline and hotel deals to ensure best service and cost. Ensure up to date policy documentation. You will have experience of managing a team. Contract management experience is also essential, ideally with catering contract management experience.
