Our Corporate Real Estate team is the acknowledged leader in the sector. The team's extensive experience includes structuring onshore and offshore vehicles and tax-led transactions, establishing joint ventures and funds, undertaking big-ticket portfolio or single asset sales and purchases and fund investor work. The department is renowned for our work on structuring property funds and joint ventures across the UK and Europe.The Role
Reporting to 2 partners one of which is also Head of Department and 1 associate, you will be responsible for:Working as part of a team in managing paper generally in transactions (responsible for printing off and filing of all e-mails and transaction documentation).
Responsible for ensuring all documents and e-mail correspondence is filed in our document management system.
Typing/amending of long documents.
Applying Nabarro House Styles.
Audio and copy typing of memos, correspondence, legal documentation and Power Point slides to a high standard of accuracy, within deadlines.
Handling telephone enquiries in a professional and polite manner, taking accurate messages and following up on agreed action.
Dealing with incoming/outgoing emails as part of transaction team and post quickly and efficiently, using initiative to action yourself where appropriate.
Opening and closing files in accordance with standard office procedures.
Producing billing guides and pro-formas as required.
Producing fee proposals for transactions and filing in our central library.
Dealing with monthly billing, amending time narratives etc as appropriate.
Timesheet entry.
Ensuring all filing is accurate and easy to use.
Preparing and maintaining client contact lists.
Ensuring client management material is up to date weekly, including transaction lists and budget and billing information.
Ensuring all relevant client material on our Net Docs site is kept up to date on a weekly basis.
Responsible for ensuring transaction updates are amended and circulated weekly to clients where necessary.
Organising client events.
Organising extensive travel arrangements and itineries both in the UK and abroad.
Organising conference attendances in the UK and abroad.
Organising a high volume of business development meetings/lunches and keeping an up to date list of this.
Responsible for keeping our marketing library up to date: including liaising with our graphic design department in Sheffield when amending flyers and ensuring they are uploaded on our internet site.
Taking a proactive approach to building relationships with clients and their secretaries on a professional basis.The Person
Time Management skills - able to work to tight deadlines ensuring a high standard of accuracy.
Customer Service skills - dealing with queries for internal and external clients in a professional, polite and considerate manner. Building relationships with clients and their assistants is a must in this role.
Organisational skills - able to work closely with Microsoft Outlook to manage extremely busy diaries and organise a high volume of meetings, using initiative and a proactive approach.
Prioritisation skills - able to take responsibility for own tasks and prioritise work from Partners and Fee-earners.
Communication skills - able to communicate in a confident, assertive and self-assured manner. Also able to work calmly and efficiently, autonomously under pressure.
Solution finder - able to find solutions to questions quickly.
Team Worker - able to work as a team member supporting other secretaries as appropriate with a willingness to get involved with a variety of differing tasks as and when required.
Minimum of 5 years legal secretarial experience.
Excellent comunication/client liaison skills.
Proficient in Word 2003, Outlook, Powerpoint and occasionally Excel. MOS Word Expert level is desirable.Nabarro recognises and values diversity in the workplace.
