Facilities Manager - Job Description
A large and highly regarded City law firm are seeking an experienced Facilities Manager. My client are ideally looking for someone with a minimum of 5 years experience in a law firm or similar professional services company.
The role
The Facilities Manager is a key member of the management team, reporting to the Managing Partner and working closely with other central services managers.
The overall responsibility of the role is to ensure that the firm's facilities services are delivered to a high standard and are continually reviewed and benchmarked.
Key Tasks & Responsibilities
• To manage, maintain and develop relationships with outsourced contractors and the bundled service contracts covering: Reception and Switchboard; Catering; Mail/Logistics/Records Management and Reprographics and Mechanical & Electrical Maintenance/Security/Cleaning and FM Helpdesk.
• Responsible for the management of all facilities related budgets including rent, rates, service charges and insurances and outsourced service contractors.
• Management of all compliance issues in relation to Facilities ensuring appropriate compliance with legislation, code, directives and regulations.
• Responsibility for the firm's Health & Safety policy working together with the firm's nominated H&S consultant and communicating issues and changes in legislation to the firm's management.
• Ensuring that satisfactory fire safety and first aid arrangements are in place and that staff are made aware of the appropriate procedures and that these procedures are tested on a regular basis.
• Driving the ISO 14001 Environmental standard forward to successful accreditation and ensuring the maintenance of this standard for the future.
• Developing key relationships across the support functions and building strong communication links internally.
• Developing and promoting the Facilities department within the firm to improve service delivery internally.
• Managing and developing the firm's Disaster Recovery Plan and continually reviewing it to ensure that it is kept up-to-date and in line with current needs.
• Responsible (via the management of the maintenance contractor) for ensuring that the maintenance programme of key building components is carried out effectively to prolong the life cycle of the building and to reduce risk to the firm.
• Contract negotiation and re-tendering with the bundled outsourced service providers, ensuring that any increased costs are fully justified and in line with inflation and external benchmarking.
• Responsible for the management and monitoring of the London Riverside Service Charge and liasing with the Landlord and their representatives.
• Space planning of all office space taking into account churn and the need for future purchases of furniture or potential changes of use to the space.
• Setting and monitoring Service Level Agreements and Key Performance Indicators for each of the major outsourced contracts.
• Administration of the firm's combined commercial insurances.
• Management of the firm's nominated travel agency together with conducting regular reviews of the service and any changes in the firm's travel patterns.
• Project management – organisation and advise on any internal moves, changes to the use of space, moves involving team's joining the firm or any move to new premises.
CANDIDATE SPECIFICATION
The successful candidate will have previous senior level management experience of at least 5 years in Facilities Management with either another law firm or within a professional services environment. Experience of managing outsourced contractors is essential.
Skills
Articulate with excellent people and contract management skills, pro-active, can-do attitude with the ability to communicate at all levels. Numerate with good business acumen. Good negotiation and influencing skills are required. IT literate with a good knowledge of Microsoft Outlook, Word and Excel.
Education
Ideally, educated to degree level with a professional qualification in Facilities Management. A member of the BIFM.
