As a Legal Personal Assistant on a 3 month contract, you will provide a range of efficient, client-focused and professional administrative support for a number of Freshfields Bruckhaus Deringer LLP fee earners to allow them to be more productive with their time. As a Legal Personal Assistant / PA your main responsibilities will involve:
• Dealing with client requests efficiently and professionally, and maintaining a good knowledge of clients to carry out basic client liaison duties
• Proactively supporting fee earners. including updating contacts, sending out business development materials, submitting content to knowledge management systems, intranet or client extranets, conducing basic research, tracking activities and running regular reports to support business development initiatives
• Assisting with the organisation and administration of training, seminars, business development and client events
• Proactively developing an up-to-date knowledge of the matters fee earners are working on, current priorities, potential issues and sensitivities
• Supporting the billing process by chasing fee earners when required and liaising with the billings team
• Managing incoming communications including checking e-mail and voicemail, drafting and transcribing appropriate replies and ensuring that all mail is processed in an accurate and timely manner, and organising photocopying, document production and printing
• Managing diaries, making appointments, arranging meeting rooms, organising travel, logging expense claims and planning travel contingencies
• Typing letters, correspondence and legal documentation, often involving confidential material, to an appropriately high standard, undertaking basic internet and desk based research
As a Legal Personal Assistant / PA your skills and qualifications will ideally include:
• A formal secretarial qualification or equivalent experience
• Proven administrative support experience supported by excellent communications and organisational skills, and high attention to detail
• Excellent IT skills, including fast, accurate audio and copy typing (60 wpm)
• The ability to produce high quality Word and PowerPoint documents, and to create and amend Excel spreadsheets
• Experience in a legal environment, or knowledge of legal terminology would be an advantage
• The ability to retain a positive and professional attitude under pressure
