This role is for a Legal Secretary to the Employment Partner based in our London office. The person in this role will also work for the next new Partner to join the firm, but we cannot currently confirm what area of law that will be.
The main duties of the role will be:
To produce documents and correspondence by word processing/audio typing as directed by the Partner(s).
To attend to clients and others, both on the telephone and in person. Where possible dealing with initial enquiries or taking detailed messages so the appropriate person can deal with the matter upon their return to the Office.
To set up new files accurately and speedily on instruction from the Partner(s), ensuring that they comply with departmental procedures and MAB ‘quality’ standards.
To maintain the Partner’(s) client details on the firm’s database (Videss) ensuring they are updated regularly.
To deal promptly and accurately with all filing and the storage and retrieval of client files.
To manage the Partner’(s) diary, which will include making appointments, arranging meetings, organising travel, etc. when required. To ensure all meetings have appropriate facilities such as room, refreshments etc.
To maintain monthly billing process, including drafting bills with narrative for approval and chase outstanding invoices as they fall due.
To look after the Partner’(s) expenses each month for either client or marketing purposes.
To oversee the Partner’(s) debts and work in conjunction with the Partner(s) and the Accounts department to ensure debts are kept to a minimum.
At all times, to ensure the confidentiality and security of all practice and client data, documentation and/or information.
With training and under supervision of the Partner(s) to draft straightforward legal documents.
To assist in the smooth running of the administration and secretarial support for the Partner(s), and where appropriate, sickness/holidays, provide support to other Fee earners and secretarial staff within the London office.
