Personal Assistant, Tax - contract until end of September 2008 - Job Description

Freshfields Bruckhaus Deringer LLP has an excellent contact role until the end of September 2008. We are looking for a Legal PA within our Tax Practice to provide an expert level of efficient, client-focused and professional legal administrative support to a number of fee-earners of varying levels of seniority, enabling them to be more productive with their time.

You will support the fee-earners in a wide range of duties, such as business development, billing and personal support. Key responsibilities will include client engagement and representing fee earners professionally.

As a Personal Assistant / PA - Tax your main responsibilities will involve:

• Maintaining an extensive knowledge of current clients, the nature of their matters and billing arrangements, and acting as a key point of contact for the client when the fee earner is unavailable
• Assessing and responding to client requests in an efficient and business-like manner to meet their needs.
• Managing end-to-end billing process, including chasing fee earners, liaising with the billroom and presenting partners with a full set of documentation to enable swift sign-off
• Managing fee earners contacts, coordinating all aspects of business development and client events , and handling the production of marketing collateral including production of pitches and client presentations
• Proactively managing fee earner diaries, making appointments, arranging meeting rooms and organising travel arrangements and expense claims, including using an understanding fee earner preferences to anticipate additional requirements
• Typing letters, correspondence and legal documentation involving confidential material, producing high quality PowerPoint presentations, organising photocopying, document production and printing
• Carrying out advanced internet and desk based research in a wide range of areas

As a Personal Assistant / PA - Tax your skills and qualifications will ideally include:

• Formal secretarial qualification or a proven track record working at PA level, preferably in a blue chip environment
• Excellent communication skills supported by strong administrative support experience
• Sound knowledge of legal environments including legal terminology
• Excellent IT skills, including fast, accurate audio and copy typing (60 wpm), the ability to produce high quality Word and PowerPoint documents , and the skills to create, manipulate and interrogate Excel spreadsheets
• Excellent organisational skills and high attention to detail
• The ability to retain a positive and professional attitude under pressure
