My client, a top international law firm, are looking for a Business Continuity/ Environmental & ISO Compliance Manager to join their busy team.

Responsible for:

National and international compliance within the Facilities arena (and firm wide where applicable) for BCP, Environmental & Energy, Health & Safety, Security, Management systems and legislation as detailed below.

Purpose of the role:

To ensure all Regulatory ISO, Legislative, Environmental and Business Continuity requirements are implemented and managed in all Pinsent Mason Offices as appropriate.

Main duties and responsibilities

Working closely with Senior Facilities Management team & the Facilities Coordinator as well as the local FM Team, Office Managers, Consultants and legal Heads of Office, specific areas of responsibility will include:

Business Continuity Planning & Management

·Ensuring all HoO and departmental plans are regularly reviewed and up to date

·HoO tests are scheduled and communicated

·CMT tests are scheduled and communicated

·Action plans arising from tests are progressed and closed out

·BIA's are carried periodically as required (as a minimum bi annually)

·Ensuring all contingency arrangements (Facilities related) are up to date/in place (e.g. Emergency boxes) and liaising with other teams as appropriate to ensure their contingency arrangements are likewise up to date and in place.

Environmental/Energy Manager

·Public Sector & other client scheme responses

·Central Government statistics and responses

·Liaison with Environmental and other consultants

·Communication with FM and other teams, of opportunities and projects to be implemented

·Communication with wider community (in conjunction with Internal Comms) of firm wide initiatives.

·Measure performance against objectives and targets and report on a regular basis

Health & Safety Operational Compliance

·Monitoring Health & Safety Accident statistics

·Analysis of DSE on line statistics

·Work with HoFM to devise teams Comms and training on new regulations/legislation

Security

·Ensure compliance with firms Security Policies (Physical Security & Manned Guarding)

·Annual review of Policies

Legislation

·Ensure the business is kept aware of all applicable Health, Safety and Environmental (HS&E) legislation, including updates and amendments

·Draft suitable policies for approval by management (Head of Facilities, Property and Facilities Director, PM Board, Health and Safety Senior Manager) and communicate to the business as required

·Ensure allocation of responsibilities at all levels

·Establish and maintain procedures and other applications/documentation (software, forms, checklists) to facilitate the practical application of legislation across all locations

•Management of CRC and annual returns (or whatever legislation replaces it) including submission of regular reports required by applicable legislation, such as CRC, ESOS

·Prepare Corporate Risk Assessments and communicate to the business as required

·Identify statutory training requirements and ensure training is organised centrally or is being undertaken at a local level

·Identify other ‘good practice’ training and ensure training is organised centrally or is being undertaken at a local level

·Schedule and chair Quarterly Health & Safety Committee Meetings

·Identify support required by external consultants (Office Wise, Turner and Townsend, Bridge), prepare suitable agreements and act as contact for Pinsent Masons

Management Systems – ISO14001, OHSAS18001, (ISO45001), ISO50001

·Ensure familiarity with the requirements of the ISO standards

·Maintain the Integrated Management System Manual, Register of Legislation and Environmental Aspects Register

·Establish HS&E objectives and targets appropriate to the business, which also help demonstrate continual improvement of the management system and/or performance

·Measure performance against objectives and targets and report on a regular basis

·Undertake periodic internal audits to ensure the compliance with ISO standards

·Attend external audits undertaken by BSI as required

·Record instances of non-conformance and corrective action implemented to prevent recurrence following up to ensure close out of corrective actions.

·Act as Management Representative for ISO50001

·Schedule and chair Quarterly Energy Committee Meetings

·Provide input during the procurement of services, products and equipment that have, or can have, an impact on HS&E, including evaluation of supplier responses where appropriate

·Identify support required by external consultants (Office Wise, Turner and Townsend, Bridge, BSI), prepare suitable agreements and act as contact for Pinsent Masons

Management Systems – ISO9001, ISO27001

·Act as Facilities representative in relation to compliance with ISO9001 and ISO27001

Management Information

·Provide periodic reports to management (Head of Facilities, Property and Facilities Director, PM Board, Health and Safety Senior Manager) on legislative compliance, accidents, performance against objectives and results of audits against ISO standards. In addition preparation of Qtly board report for Director of Property & Facilities and assisting with preparation of H&S quarterly board report.

·Internally communicate information relevant to HS&E to increase awareness and engagement throughout the business, including Mobi pages, articles for One PM, other publications and posters

·Ensure Environmental Dashboard is being updated on a regular basis and arrange amendments as required e.g. to reflect new offices, reporting requirements

·Provide input to bids, client requests and other questionnaires, including submissions to the Carbon Disclosure Project, Ecodesk Software, Legal Sustainability Alliance

 General

·Coordinate Facilities responses to client bids/audits ensuring a response within the time limits

·Establish and oversee budgets related to the implementation of HS&E across the business, including consultants, ISO certification, CRC, training, capital investment

·Liaise with the Responsible Business team regarding relevant HS&E matters

·Liaise with HR regarding any H&S or building related accident or sickness trends.

·Review coverage of HS&E procedures across international offices and extend as required

·Consider the extension of ISO certification to international offices on a staged basis over the next five years

·Design, implementation and presentation of awareness campaigns for any of the above areas

·Shared line management of FM Team Coordinator

Person Specification

Qualifications and Relevant Experience

• NEBOSH General Certificate (or equivalent)

• IEMA Associate or equivalent

Key Skills

·Good IT literacy (especially MS Office applications)

·Attention to detail

·Able to create and articulate Policies and Procedures from legislation.

·A clear understanding of the HS&E legislation and its application within an office working environment.

·An appreciation of the partnership culture and the way in which such a business functions and makes/implements decisions

·Good understanding of business financial measures and an ability to express the benefits of initiatives in financial terms
