We are looking for a Medical Secretary for managing work of a Maxillofacial (head and neck) surgeon when he works privately, providing secretarial support to medical staff and coordinating all communications between visitors, patients, and physicians.

The Ideal candidate must be experienced, flexible, and efficient in handling tasks. Experience or familiarity with medical terminology is required, a plus if it's in surgery / head and neck. This is a full-time role, which can also be done part-time for the right candidate. In this role you can work from home so it's very flexible to be combined with family commitments.

The ideal candidate will be responsible for:

  • Updating patient medical records and histories; and preparing medical reports and summaries
  • Draft medical legal reports based on the patient records and cases
  • Arrange documents in an efficient and convenient manner for storage and future reference
  • Manage interactions with the company's clients, provide the needed support and redirect queries to the right individual or department
  • Type up a copy of dictated material, meeting contributions, or other spoken material, often in real time
  • Arrange managers' travel schedule, such as booking flight and train tickets, hotel stays, and trip itineraries
  • Note the most important decisions made during meetings, recording project ownership and responsibilities, distributing minutes to all participants and filing for future reference
  • Coordinate meetings between several individuals, and ensure meeting rooms and facilities are in place for an effective meeting to take place
  • Organise, arrange and flag emails to managers based on relevance and urgency, and manage replies
  • Process, categorise and account for the director's and team's expenses
  • Organise, arrange and make changes to managers’ meetings with both internal and external contacts
  • Undertake general administrative support tasks, such as filing and document management
  • Use a clear, pleasant and polite telephone voice to receive and redirect calls to the appropriate individual
  • Draft and produce written pieces of communication such as emails, contracts and sales material
