Our client, a leading international law firm, require a L&D Assistant to support their Head of L&D.
Providing learning, training and e-learning support to nearly 400 clients: partners, associates, trainees, business services staff and secretaries, the firm typically run over 100 training events a year, many of which are bite-sized modules, as well as providing support to practice group know-how seminars, e-learning and senior level coaching assignments. There is a strong appetite for L&D and this is likely to grow, as people, particularly our lawyers, start to embrace the need to develop their management and leadership skills.
A key success factor in this role is delivering "more with less", by identifying connections, avoiding duplication across the business and streamlining administrative systems.
MAIN DUTIES AND RESPONSIBILITIES:
SUPPORT TO L&D PLANNING
- Provide support to the annual and ad hoc planning of L&D programmes for partners, associates, trainees, secretaries and support staff, including helping with learning needs analysis.
- Liaise with internal room booking colleagues and external trainers to schedule dates.
- Provide input and support to brochure production and other publicity material for events
INTERNAL L&D EVENT ADMINISTRATION
- Liaise with target population for each L&D programme/module.
- Create records to ensure attendance is monitored and reviewed, especially for mandatory modules.
- Liaise with external trainers to ascertain equipment needs and chase course materials.
- Liaise with internal teams who provide venue, IT and catering support and maintain a robust advance and weekly booking system.
- Advertise courses internally, using appropriate "sales" and learning outcomes language.
- Provide support to creation, distribution and filing of course materials.
- Manage the L&D calendar.
- Ensure attendance and evaluation forms are completed and processed.
- Assist with the setting up and clearing of training rooms.
CAPTURING OF IN-HOUSE TRAINING NEEDS (WITH SUPPORT FROM HEAD OF L&D)
- Liaise with clients to clarify training needs and outcomes.
- Research and design skills-based workshops, e.g. for secretaries, business support staff, trainees and paralegals.
COMPLIANCE/RISK MANAGEMENT TRAINING
- Work with the Compliance Team and the Head of L&D to provide administrative and liaison support to ensure that all compliance e-learning is rolled out, monitored and evaluated both to new joiners and to existing staff/partners.
EXTERNAL COURSES
- Liaison with colleagues (Information and Know How Co-ordinator and knowledge development lawyers) to Ensure that all requests to attend external training are scrutinised and then approved by Head of L&D.
- Research alternative (e.g. more economical ways) of addressing learning needs.
- Book, send reminders and follow up external course attendance, encouraging delegates to share materials/know how etc.
PARTNER, SENIOR ASSOCIATE AND DIRECTOR-LEVEL COACHING
- Provide support to the Head of L&D and Head of HR in relation to business/executive coaching assignments, e.g. liaising with coaches; scheduling of meetings, and keeping records.
LEGAL KNOW-HOW AND TECHNICAL TRAINING
- Work with Information and Know How Co-ordinator to support Administration of the Knowledge & Learning Forum.
- Book lawyers/legal executives onto specialist technical and vocational courses.
- Liaise with KDLs and other K&L representatives to ensure that group and team-based know how training is supported appropriately.
- Monitor uptake of L&D timecodes and support the Head of L&D to encourage lawyers to embrace this.
OTHER
- Support (when appropriate such as for holiday cover) the Information and Know How Co-ordinator with a range of tasks including invoicing and budget management support, updating of intranet, renewal of subscriptions.
- Be ready to initiate new systems and templates to improve administrative processes.
Personal Attributes & Skills
- Well organised and proactive, with a keen eye for detail.
- Ability to streamline administrative processes.
- Comfortable handling a heavy events management workload.
- Excellent written and oral skills, including the use of appropriate media to engage/influence an audience.
- Knowledge of and, ideally, some experience of training design and delivery (or motivated to develop these skills).
- Confident in dealing with internal clients and external providers and able to manage their expectations.
- Solutions-focused and comfortable taking ownership of task and project delivery.
- Client-orientated but assertive enough to encourage individuals to take ownership of their learning.
- High degree of IT literacy, i.e. at least intermediate level in Outlook, Word, Excel and PPT.
- Self-starting with high energy levels and stamina.
- Ability to challenge the status quo and to think laterally when faced with set-backs/obstacles.
- Ideally experience of working in professional services/regulated profession.
