Legal Admin Assistant:

Do you have some Legal work experience under your belt and are looking to forge a long term career as a Legal Secretary / Legal PA? If so, we have the perfect opportunity for you! Global law firm based in the heart of the City seek Legal Administration Assistant to support the busy Partners, Fee earners and Paralegals. The Legal Admin Assistant role will play a key part in providing support for the firm and for the right person, the role could open up some amazing opportunities further down the line.

Legal Admin Assistant:

The successful candidate will provide clerical support and assist staff across the various departments of the firm. You will be responsible for a wide variety of tasks. The successful candidate will interact regularly with secretaries, attorneys and paralegals so great interpersonal skills are a must!

Legal Admin Assistant:

Responsibilities will include the following tasks, delegated by Legal PAs or directly from Fee Earners:

  • Printing of emails and attachments
  • Small volume photocopying and scanning and delivery/collection of large volume document production, courier and repro jobs
  • Administration in association with payment for Fee Earners individual memberships of institutes and associations
  • Organising and maintaining up to date systems to ensure effective document management including closing files, archiving and ensuring all relevant documents are filed electronically and paper-based
  • Supporting Fee Earners with InterAction updating
  • Assisting Legal PAs with proactively downloading and printing reports on contacts ahead of meetings and pitches with the contact, populating InterAction mailing lists with contacts as directed by fee earners and editing/refining these lists as appropriate
  • Undertaking research using the internet and databases etc
  • Collate and index legal documentation
  • Maintaining a deal database (in conjunction with marketing), ensuring fee earners have logged their deal 'post-closing' in the database with relevant information

Legal Admin Assistant:

Required skills and experience:

Formal secretarial qualification (ILEX)

Excellent communication skills and telephone manner, with the ability to work confidently and collaboratively across functions

A calm, with keen attention to detail; a multi-tasker who enjoys a fast-paced working environment

Excellent customer service skills with a positive can do attitude

Self-motivated, disciplined individual with excellent problem solving skills

Strong organisational skills with experience of managing end to end tasks that require multiple touch points

Strong technical skills with knowledge of Word, PowerPoint and Excel packages
