Purpose of Role/Key Responsibilities and Duties

  • Inception of new files onto the Vectus system to include the following:
  1. Checking appropriate documentation produced by the pre-litigation handler to include the Court Proceedings, medical evidence and any other reports/ relevant documentation.
  2. Verifying Defence due date.
  3. Seeking Defence extensions where necessary.
  4. Completing all relevant fields on Vectus to ensure that the necessary details are available for the litigator to carry out all necessary tasks.
  5. Producing inception correspondence.
  6. Filing Acknowledgement of service with the Court and serving the Claimant’s Solicitors.
  7. Preparing hard copy file using the relevant inserts e.g. pleadings, medical evidence, witness evidence.
  8. Transferring file into Litigators name on ClaimCenter and placing a note on the system with Plexus’ details.
  • Updating Vectus as required with details of handlers, other side’s Solicitors, Court etc.
  • Dealing with incoming post on litigated files on a daily basis for immediate distribution to staff within the department and logging onto Vectus using the in-post system and relevant loops e.g. trial dates, Part 36.
  • Updating the Compensation Recovery Unit (CRU).
  • Monitor incoming faxes and deliver to staff within 30 minutes of receipt.
  • Photocopy and/or print items from the file as appropriate.
  • Assist with the preparation of trial bundles, documents for enclosure with instructions to counsel or experts.
  • Archive closed litigated cases ensuring the appropriate file closure procedure has been followed and the files are sent to the relevant Plexus office.
  • Filing of paper files into the cabinets for litigators (specifically the litigators who are running caseloads in excess of 70 files).

    Key Performance Targets

  • All new files to be incepted onto Vectus  within 48 hrs of receipt
  • Fee Earner post to be logged onto Vectus within 24 hrs of receipt
  • Filing of paper files for high volume litigators on a daily basis
  • Archiving of litigation files  monthly
  • Photocopying within time limit specified by litigator

    Knowledge and Skills

  • GSCEs grades C or above
  • Motivated and target driven
  • Administration skills including filing, logging data, and archiving
