Risk & Compliance Administration Assistant- Cardiff
We are currently recruiting for an Admin Assistant to provide support to our clients Risk & Compliance Team.
The team ensures the effective operation of SmartWorks the firm's Quality, Risk, Compliance and Information Management system.
Occasional travel to our Midlands offices.
Principle accountabilities:

  • Receive, sort and action any mail;
  • Monitor incoming emails in the Team's shared mailboxes and allocate the actions to the appropriate Team Member;
  • Maintenance of files ensuring all items are filed accurately
  • Maintenance of all Team registers, ensuring that these are updated accurately and in a timely fashion;
  • Monitor and chase all follow up actions required following any incident, breach, concern, report or audit finding and escalate any failure to take actions to the appropriate team member;
  • Implement and monitor any routine vetting activities required under the SmartWorks System from time to time;
  • Manage and prompt appropriate team actions required under the Team's Compliance Calendar;
  • Typing any documents and reports required from time to time, including occasional audio typing;
  • To manage team members' diaries, arranging travel, accommodation, and training as necessary;
  • Arranging meetings as requested including, equipment, catering and agenda preparation;
  • Open and close files as requested and deal with any actions arising.
  • To deal courteously and promptly with any instructions or queries arising;
  • To adhere to all policies and procedures and requirements of the firm;
