Document Production Assistant City/Monument

Our client, a global city law firm are looking for a DP Assistant to work the evening shift within the London team.

They are looking for someone with 18-24 months experience of document production work in a law firm. They will need to have a typing speed of at least 60 wpm and experience in DocX and adobe pro is preferable.

Key Responsibilities

• Producing documentation and correspondence including (but not limited to) reports, letters, emails, memos, attendance notes, court documents and forms; copy typing; creating mark ups; proofreading and checking all work produced to ensure it is accurate, consistent, adheres to Clyde &Co house style and meets the firm’s standards • Transcribing digital dictations, ensuring protocols are followed and work is saved into the correct folders in the appropriate document management system • Transcribing voluminous digital dictations including recordings of meetings, police and other interviews • Undertaking the production and manipulation of documents to include (but not limited to) amendments, track changes, amending and changing house styles, formatting etc., converting client documents to Clyde's house styles, working with client style documents, hyperlinking, cross referencing and working with footnotes and endnotes • Cleansing and fixing corrupted documentation; ability to use DocX document cleaning software when necessary • Producing complex PowerPoint presentations and pitches, including illustrative graphs, charts and tables • Producing complex Excel spreadsheets, inserting data, applying formulas when required and working with pivot tables  • Converting PDF’s to word and reformatting, redaction, removing watermarks, pagination; combining multiple documents and  redacting pages; creation of bundles using PDF documents • Dealing with telephone calls in a prompt and professional manner, taking and passing on clear and concise messages, diverting phones, monitoring voicemails and update greeting messages • Maintaining open and appropriate communication lines with internal and external clients at all times; building relationships with internal staff, handling all interactions in a professional manner, responding to and seeking to resolve queries, ensuring follow-up, providing updates as to progress of work and/or the ability to meet deadlines • Managing and prioritising own workload (or as directed by the Secretarial Team Leader or DP Coordinator) to ensure work is turned around within agreed deadlines and timeframes • Working as part of a team to ensure deadlines are met and work is produced to a high standard sharing information with colleagues; liaising with the STL/DP Coordinator as necessary and completing full handovers between DP members/shifts to ensure a seamless service; providing support and guidance to other team members • Ability to operate fully and effectively the Microsoft programmes and software packages in use by the firm Experience and Skills Required

• Previous document production experience  • Fast, accurate typing • MS office skills (Outlook, Word, Excel and PowerPoint) • DocX document cleaning software also advantageous • Experience of digital dictations • Excellent spelling and grammar • Attention to detail with a high level of accuracy • Ability to organise and prioritise own workload • Excellent organisational  and communication skills • Good level of initiative and pro-activity • Ability to be calm and retain a professional attitude under pressure • Flexible and committed • Positive attitude • Team player
