A prestigious US Law Firm based in the heart of the City is looking to hire a new Guest Services/Post-Room Coordinator in the London office to ensure ha the logistical needs of the Partners, Attorney’s and Support Staff are proactively met.  Responsibilities will include receiving, sorting and delivering all incoming mail and package according to assigned locations/recipients within established timeframes, performing post collection runs within established timeframes, obtaining and providing cost quotations for post and courier items, receiving, log and obtain a signature for all business related courier items, receive, book and log all outgoing couriers, sending tracking details and proof of deliveries via email upon request, package large and bulky outgoing items updating post rack pigeonholes on a regular bases, completing post charge slips and forward to Accounts Services, checking and processing invoices on firms accounting system.  Complete regular stationery inventory checks, set and manage stock levels, place orders according to the Purchasing Policy, liaise with and review vendors/suppliers, cross check stationery deliveries with orders and place in stores.  Other duties include assisting with mid-year and annual employee reviews, provide relevant training to new team members, and existing staff on software and procedures, ensure consistency across all shifts by accepting and preparing handovers at the beginning and end of each shift, prepare monthly reports.  Candidates must have previous legal mailroom experience working at team leader level, in addition to strong analytical, technical and communication skills and excellent IT skills.  Standard hours are 9.00am – 6.00pm.
