A prestigious US Law Firm based in the heart of the City is looking to hire a new Facilities and Guest Services Assistant on a permanent basis, to manage the advance meeting room reservations and facilities help desk providing an efficient, client focused and professional services to Fee-Earners, support staff and clients.  Responsibilities will include coordinating all advance meeting room and visitor office reservation requests and confirm bookings using room booking system, EMS, where necessary, accurately book all other related services such as catering, IT, AV and Facility services liaising directly with the departments as required to ensure all client requirements are met, proactively check all details are entered in the correct field and allocate the meeting room accordingly, manage bookings in EMS to ensure the most appropriate room is used and to ensure maximum room capacity, chase and reconfirm all future room/visitor office booking information and visitor names using the standard wording templates, communicate effectively with other departments, such as IT, AV, facilities and own team, report and troubleshoot EMS and software issues, liaise with appropriate person or department for technical assistance, providing reception cover as required.  Other duties include responding to and log all Facilities Helpdesk requests, coordinate requests with the Facilities team, 30 SMA via Vicinitee or relevant contractors or escalate as required to Facilities Manager, monitor each request to ensure timely completion and close each on completion, escalate any incomplete requests to the Facilities Management Team, collate and distribute the monthly task statistics.  Candidates must have a minimum of 3 years experience within a similar role with online booking software experience, exceptionial customer service, communication and organisational skills.  Standard hours are 8.00am – 5.00pm, however an element of flexibility around these hours is required.
