A prestigious US Law Firm based in the heart of the city is looking for a new Office Services Assistant to join the London office on a permanent basis to work the hours 10.00am – 7.30pm.  Responsibilities will include accurately completing a large number of reprographics requests for black/white and colour printing, photocopying and scanning, producing indexed linked e-bibles and hard copy bibles, burning CDs., operating the production printers and copiers, including inputting job-processing settings and managing job queues, checking document quality before, during, and after each production job, loading copiers with paper and toner as needed, handling sensitive and/or confidential documents and information, communicating with the manager and lawyer on job or deadline issues, liaising with external reprographics centre when appropriate (e.g. producing large format documents) – ensuring that quotes are obtained and communicated to the requester prior to the work being outsourced, running monthly print & click reports, ensuring all correspondence reaches the correct recipient both internally and externally, distributing all incoming mail and ensure safe, accurate and timely receipt of all correspondence and parcels,  providing advice to all staff on all post and courier queries in order to find the most cost effective and suitable solution for their business need, responsible for franking Royal Mail post and arranging Special Deliveries and Registered Post requests. Other duties included being responsible for logging archive boxes to be collected by our off-site storage vendors and arranging the collections, assisting the Front of House team in changing meeting room layouts – this will involve moving tables and chairs and operating the semi-automatic moveable walls, working with the Front of House team to ensure the office has adequate stationery supplies and assisting with office moves or general requests in relation to office equipment.  Candidates need to have previous Office Services experience within a professional services organisation, preferably within a law firm in addition to having strong Communication and written skills.
