The Role

Responsible for managing all aspects of the firm's global HR system (SelectHR), including identifying and rolling out improvements, on-going management and maintenance, including data integrity, security, training and overseeing the delivery of regular management reporting requirements.

Key Responsibilities

  • Owns the firm's global HR information system.
  • First point of contact for all HR system queries from end users, global super users and members of the HR team, co-ordinating and planning all change requests.
  • Ensure that HR data is captured timely, accurately, and consistently and that integrity is maintained through regular audit reporting.
  • Support global super users with on-going training, producing user guides, and ensure they are kept informed of developments or issues.
  • Work with IT and Finance, building relationships and ensuring data is transferred and shared across the firm efficiently through future integrations and accurate reporting.
  • Develop and maintain workflow solutions, continually looking for ways to improve processes.
  • Develop and maintain effective and comprehensive HR systems documentation.
  • Oversee the delivery of regular reports to the business, assisting or providing guidance with writing reports where necessary and overseeing report design using Crystal Reports and/or Excel.
  • Respond to data-related requests for pitches, the Press, national statistics, surveys, etc. in an accurate and timely manner.
  • Assist teams to manage annual processes, such as appraisals, practising certificate renewals, P11D, diversity submissions and gender pay gap statistics by providing accurate reports, responding to requests for information quickly and providing system support for online processes.
  • Assist the HR team with global salary and bonus reviews.  Own the participation and completion of all market survey data and prepare data analysis and cost modelling to support reward projects.
  • Act as an escalation point for systems issues, working to resolve issues in a timely and proactive manner.
  • Project manage all system updates and upgrades across the firm ensuring changes are thoroughly tested and communicated.  Fully utilise the capabilities of the system by looking at additional functionality whilst improving the use of existing functionality and managing the change associated with this, including communications associated with any major upgrade.
  • Be the project lead on the annual launch of ObjectiveManager (goal-setting software), dealing with any technical issues, in conjunction with IT and the supplier, as required.
  • Manage and build relationships with HRIS system supplier, account manager and customer success manager to achieve cost efficiencies and ensure that service level agreements are met.
  • Jointly oversee and develop the HR Systems & Benefits Analyst.
  • Maintain confidentiality of data and departmental security at all times.  This includes data such as absence, turnover, grades and salary/bonus figures.
  • Ensure the firm maintains its compliance with relevant legislation, including the General Data Protection Regulation.
  • Assist with additional data intensive projects on an ad hoc basis.
  • Any other ad hoc tasks as may be required.

Key Skills & Experience Required

●    At least three years' relevant experience within a professional services organisation, ideally legal.

●    Knowledge of an HR information system essential.  Experience of SelectHR and Crystal Reports advantageous.

●    Operational HR experience desirable.

●    Numerical and analytical skills.

●    Strong IT skills, in particular manipulating data using intermediate MS Excel (graphs, pivot tables, formulae, reporting).

●    Customer-focussed approach.

●    Excellent organisational skills and attention to detail.

●    Project management experience desirable, in particular system integration/implementation (scoping, negotiating with third party suppliers, data transfer, testing, on-going development).

●    Discrete, maintaining confidentiality of data and departmental security.

●    Keen to work collaboratively and be an active team member.

●    Ability to communicate effectively and professionally across all levels of the firm.

●    Approachable and able to build a rapport quickly.

●    Self-motivated and able to work on own initiative.

●    High levels of discretion, confidentiality and diplomacy.

●    Flexible regarding working hours.
