Fantastic opportunity for an experienced Office Manager to join the rapidly-expanding London office of a global law firm. Their London office is going through a huge growth phase, making it an incredibly exciting time to be joining. The Office Manager will manage all duties and activities of the Office Services teams for the London office, including the Facilities, Administration, Reception and Secretarial teams. In addition to ensuring collaboration between the business functions, this role will work with stakeholders across the business and will manage relationships with key external suppliers and providers. The Office Manager will partner with Human Resources, Information Technology and Finance to provide a high service level to the partners to support the needs of the business. The Office Manager's remit will be broad, including: Direct line management of the Office Services Management Team.Reviewing current service levels between office services and fee-earners i. current team structures, to ensure a high quality service is being delivered.Responsibility for all procurement to include reviewing current service levels.Negotiating new contracts when applicable, ensuring costs effectiveness and quality service.Responsibility for space planning and overseeing floor plans and desk allocations.Project manage office refurbishments / refit.Reviewing and maintaining business continuity / disaster recovery plansManaging all COVID-19 related activity for return to the office planning in conjunction with Government guidelines.Responsibility for managing and reviewing the Office Services annual budgets.Main liaison between the Brussels and London office working closely with the Brussels Office Manager.Liaising with building management and maintaining all lease agreements and renewalsMain point of contact for the external Catering Team.Responsibility for all firm events and party planning.Participating in the Pro bono committee.Managing the firm's charity work and building and managing relationships with new charity collaborations. The ideal candidate for the Office Manager role will have strong office management experience from a law firm or professional services firm. You must have an understanding of statutory requirements of relevant legislation applicable to office premises, and experience of business continuity processes. Excellent leadership and people management skills are a must, along with business acumen and the ability to work with cross-functional teams. You must be highly organised, and able to handle confidential information with discretion.
