Our client, an independent organisation, are looking for a financial assistant to work in the capacity of casework administrator. The person will need to have worked in a finance role but also have extremely strong administration skills.
The Casework Administrator will have their own docket of cases. Day-to-day, the role of Casework Administrator includes (but is not limited to):
-
working closely with Counsel on the financial aspects of their cases, escalating issues to Senior Counsel and/or Accounts where necessary;

preparing budgets for costs and calculating required Advance Payments for Costs; liaising with the Tribunal and the LCIA Court where necessary and preparing further directions for Advance Payments for Costs;
-
monitoring the financial status of cases on an ongoing basis and forecasting future costs to ensure the organisation remains in funds throughout the administration of a case;

monitoring the Casework inbox and sending correspondence to parties on outstanding matters as required;

monitoring developments on cases on your docket, including running regular reports to ensure a consistent overview;

communicating with arbitrators and their assistants in relation to their fees and other case related matters, including awards and the termination of proceedings;

liaising with arbitrators to receive their fee notes and receipts; scrutinising fee notes and receipts for correctness and compliance with our rules; and arranging payment by the accounts team;

supervising casework accounting matters in liaison with accounting staff (where appropriate), including entering and checking time on case ledgers, arranging and recording disbursements, preparing payment requests, requesting invoices, escrow payments, debt management review, and return of funds;

reviewing costs and preparing dossiers of the costs for submission to the Court

answering enquiries from the Tribunal and the parties regarding costs;

assisting parties, where requested, to make practical arrangements for hearings, including
booking hearing rooms; and assisting arbitrators with hotel reservations;

work closely with Counsel to ensure that appropriate Advance Payments for Costs are called for as and when needed;

updating the internal case management system;

responding to requests and enquiries from parties, users and practitioners;

assisting the Registrar, Deputy Registrar, Counsel and the accounting team as appropriate on ad hoc projects, including with overseas ventures; and
-
implementing the internal payment practices guide and performing tasks in compliance with regulations.
It is an internal facing role and although you may on occasion be invited to attend industry events, business development does not form part of the scope of this role. Qualifications, Skills and Experience
- The ideal candidate should have experience in a similar role and be able to demonstrate the following:
