The Data Protection Analyst is the key person supporting the regional and Local Data Protection manager to achieve compliance with Data Protection Regulations in UK and European operations.

Description
- As a Data Protection Analyst (DPA) for European Region:
- Help foster a data protection culture within the region, as well as assist and advise where necessary with Global Data Privacy Initiatives
- Monitor compliance with the EU and UK GDPR, along with other Member State data protection provisions and with the policies in relation to the protection and use of personal data, including the assignment of responsibilities, awareness-raising and training of Associates involved in processing operations, and related audits
- Support ensuring all processing of personal data in Europe region is compliant with internal policy (Regional Privacy Policy (RPP)) and regional & local privacy regulations through regular reviews
- Support preparation of the annual plan on data protection and carry out PDCA (Plan, Do, Check, Action cycle) quarterly and annually, in accordance to business requirements
- Provide support to all branches and entities (Genpos) in region on data protection regulations, related guidance and internal policy & rules
- Provide support to facilitate prevention and problem solving of data protection issues and risks, anywhere.
- Manage inboxes related to Data Privacy, of which some are external facing
- Support the Data Protection Managers (DPM) to manage and fulfil data subject right requests and responses
- Support with maintaining records of processing (asset register, privacy impact assessments and data transfer assessments), including by process and system owners in a central register (a commercial software package specialised in privacy management) including supporting the administration, configuration and monitoring of the software
- Prepare and communicate information on other company data breaches, including changes to data protection regulation, guidance and expectations in the region
- Support the maintenance and update of the Data Sharing Agreement
- Support the Regional or Local DPMs to take appropriate action in the event of data breach within required timescales, including reporting to relevant stakeholders, authorities and regulators
- Assistance to the Head of Risk
- Maintain all documentation and guidance needed to evidence and ensure understanding & correct operation of processes ensuring compliance with Regional Privacy Policy, regulations and laws, including how and when to report breaches to the regulator, support overseeing and managing Privacy Impact Assessments, highlighting the risks to data subjects and working with the business to reduce risk to the rights and freedoms of data subjects and operations, considering the nature, scope, context and purposes of the processing
Profile
- Ideally with or studying towards a recognised accredited qualification to at least foundation level in Data Protection Act 2018 or the GDPR
- Good sound knowledge and working background in data protection; Data Protection Act 2018 and The GDPR across Europe Economic Area states, awareness of privacy across Africa and Middle East useful.
- Experience in risk management
- Well-organized, analytical, and excellent in problem-solving, able to develop relationships and work with as well as advise and challenge whilst supporting the business to achieve its objectives effectively and efficiently,
- Works well under pressure and to tight deadlines; planning and prioritising own time efficiently whilst maintaining high accuracy and quality is essential
- Advanced MS Office skills (especially PowerPoint)
- Flexibility to travel on the Company's business as required
- Background or knowledge in data or process analysis and automation, management and improvement would be advantageous, including exposure to and understanding of the aims and responsibilities of business functions over support functions
- Software administration and configuration including dashboards and reporting is an advantage, especially with software such as SharePoint, MS Teams, Power apps and OneTrust,
- Language: Additional European languages are an advantage
- Experience with international work is desirable
Understanding of Japanese culture and management practices is desirable
