Our client is a prestigious City law firm - they are now looking to recruit a Secretarial Coordinator to join their Dispute Resolution team in London.

As a Secretarial Coordinator in the Dispute Resolution department, your role will be responsible for ensuring that the fee earners and clients receive a professional, efficient and high-quality secretarial service. The role will also be responsible for the day-to-day workflow management of the secretarial and administrator teams, providing assistance and guidance wherever appropriate and implementing and maintaining an excellent support service.

This role will supervise all administrators working across the team and including the supervision of the apprentice administrators.

The standard hours are 9.30am to 5.30pm. The salary on offer is up to £46,000 + Benefits. This role is a permanent position, and the client are currently using a hybrid working approach (2 days in the office, 3 from home).

Responsibilities as a Secretarial Coordinator include:

  • Day to day supervision of the secretaries and administrators
  • Supervising the apprentice administrators
  • Ensure that the fee earners are supported by managing the workflow and resources
  • Recruiting new individuals into the team by playing a key role in the recruitment process
  • Authorising holiday and be responsible for absence management
  • Providing guidance and advice to the secretarial and administrator teams
  • Providing a full secretarial service to partners and other fee earners
  • Typing correspondence by copy (and/or audio) and compile draft replies to standard letters
  • Opening a new client , carrying out KYC and conflict checks
  • Screening incoming calls, assisting clients with enquiries where possible

Requirements as a Secretarial Coordinator include:

  • Previous experience working in a supervisory or line management position
  • Previous relevant experience within a Dispute Resolution department of a law firm
  • Excellent time management and organisational skills
  • Demonstrable track record of excellent direct client contact and client care
  • Ability to work successfully as part of a team
