Our client is a prestigious London law firm - they are now looking to recruit an experienced Executive Assistant with Secretarial Team Leader duties to provide a polished support service to 3 partners and 1 Counsel within their Banking and Corporate departments. You will also be supporting the Head of the Banking & Finance.

You will have Senior level PA / EA experience gained from legal or professional services (banking / accountancy).  Experience of being a Secretarial Team Leader or managing a small team is essential for this role.

The standard hours are 9.30am to 5.30pm. The salary on offer is up to £45-50,000 per annum plus benefits. This role is a permanent position. They are operating a hybrid working pattern where you will be expected to be in their office for 3 days a week, 2 days from home.

Secretarial Team Leader responsibilities:

  • Supervising and leading a team of secretaries on a daily basis
  • Coordinating workflow needs across the department, delegating services as appropriate
  • Planning holiday and absence cover as required
  • Taking ownership of operational and performance issues, escalating as appropriate
  • Playing a key role in the annual appraisal process, seeking feedback on secretaries from fee-earners
  • Acting as first point of contact for secretarial new joiners to the department, assisting in the induction process

Responsibilities as an Executive Assistant include:

  • Complex diary and travel management
  • Diarising and supporting the monitoring of deadlines
  • Arranging client entertainment and assisting with organisation of client seminars/conferences
  • Preparation of agendas and meeting papers
  • Responsibility for organising internal events (e.g., training sessions, social events)
  • Drafting emails and letters on behalf of fee-earners
  • Research into clients as instructed by fee-earners
  • Coordinating the billing process on behalf of partners
  • Supporting partners with creation of client presentation materials
  • Supporting events in collaboration with Business Development
  • Preparing pitch documents
  • Liaising with the Marketing & Business Development team

Requirements as an Executive Assistant include:

  • Previous Senior level PA / EA experience gained from legal or professional services
  • Experience gained from an accountancy or banking firm will be advantageous
  • Fast, accurate typing skills
  • Strong organisational, prioritising and deadline management skills
  • Excellent attention to detail
  • Highly skilled on all MS Office applications
  • Ability to be flexible to meet the demands of the work
